References
All volunteers are required to provide a Church Reference. For those wanting to serve with the Children's or Youth Team a second reference will be required.
You will need to let us have the contact details of your referee, including an email address. As we need to ask specific questions, we unfortunately can't accept a pre-written reference. Naturally, all information given in the reference remains confidential.
- The Church referee must be your Minister, Vicar or Senior Church Leader.
- The Second referee should ideally be someone who has seen you working with children/young people or someone with responsibility at your place of work/study.
- Your referees must have known you for at least one year and see you regularly (at least once a month)
- Your referees must not be related to you and must be over the age of 18.
- If you've recently moved and your current Minister hasn't known you for more than a year, we will ask you in the application to provide details of two referees. If you are unsure who to put as your referee, please contact your Team Administrator.
- Your referee/s can't be serving at Spring Harvest on the same Team or Resort Week as you.
- Whoever you choose as your referee, as a matter of courtesy please let them know that you have given us their name and that we will be in touch to obtain a reference.
- If you have any queries, please contact your Team Administrator ^Top
Identification of Team Members
All Team members (including Leaders) are required to have photo
identification at the Resort. When completing your
mySpringHarvest application, you'll be asked to provide a
passport-style photograph for this purpose. You can preferably upload a photograph or post one to your Team
Administrator. When you arrive at the Resort, you'll be
given a badge displaying your photograph, name and the Team you are serving with.
Please note that we won't be able to process your application until we receive the photo.
Each year when you revisit your mySpringHarvest profile, you will
have the choice to either stay with the current photograph or to
submit a new one. ^Top
CRB Disclosure
Will I need a Criminal Records Bureau Disclosure (CRB)?
All positions on team at Spring Harvest could involve unsupervised contact with children or vulnerable adults. Team members are in a unique position of trust within an environment where children and their parents/carers feel safe and are therefore more vulnerable.
After carrying out a thorough risk assessment, all positions on team are exempt from the Rehabilitation of Offenders Act 1974 and all team members are required to obtain a current satisfactory Enhanced Disclosure from the Criminal Records Bureau specifically for Spring Harvest.
What if I already have an Enhanced Disclosure?
- If you have already obtained an Enhanced Disclosure for Spring Harvest we will check our records to ensure that you are covered for serving at the next Event.
Under what circumstances will I need a new Disclosure?
You will be required to obtain an Enhanced Disclosure if:
- This is your first time on a team
- You have had a break in service
- You need to renew your Enhanced Disclosure ^Top
What is the Enhanced Disclosure process?
- After issuing your invitation, or after receipt of your application, Spring Harvest will check if you need to apply for an Enhanced Disclosure for the 2011 Event. If you do, we will send you the application pack for you to read and fill in. Your mySpringHarvest profile will inform you of your CRB status. Please check this when applying.
- We are unable to accept volunteers without a satisfactory current Spring Harvest disclosure. When you receive the CRB pack, please make this a priority.
- Once the CRB have carried out their checks, a Disclosure notice will be posted to you and a copy to Spring Harvest. If, on receipt of our copy, we decide to withdraw our invitation to you or decline your application, we will contact you in writing. If you do not hear from us, please arrive at the Resort as requested. ^Top
What if I have recently moved to the UK?
- If you have lived in the UK for less than six months we will not ask you to apply for an Enhanced Disclosure from the Criminal Records Bureau. Instead you will be asked to obtain a similar police check (sometimes called a Certificate of Good Conduct) from your home country. If this applies to you, please call or email Gill Hudson on 01825 746508.
- If you already have such a check/certificate please send a copy to Spring Harvest as soon as possible. ^Top
Where can I get more information?
- Further information on the Enhanced Disclosure system can be obtained by contacting the CRB on 0870 90 90 811 or www.crb.gov.uk
What are Spring Harvest's policies relating to the Disclosure?
- A criminal record does not necessarily bar you from serving
on team. Each case will be assessed on an individual basis. We
may need to ask for further information or carry out checks
with the relevant authorities before a decision can be
made.
» See our policy on the recruitment of ex-offenders for the position of Team Member - Please be assured that Spring Harvest will handle all
personal information confidentially and will follow the CRB
Code of Practice in the handling and storage of all applicant
information.
» See our policy on secure storage of your information
If you have any questions or concerns about applying for an Enhanced Disclosure for Spring Harvest, please call or email Gill Hudson on 01825 746508. ^Top
Visas & Regulations
- Serving on Team cannot be used to obtain a Visa for entry into the UK.
- If you're already in the UK on a Visa, we will need to see a copy which can be found in the back of your Passport. Unfortunately we cannot accept your application without this.
Send visa documentation to:
Your Team Administrator marked Private & Confidential, Spring Harvest, 14 Horsted Square, Uckfield, East Sussex, TN22 1QG (or by email to your Team Administrator). ^Top
Medical Information
- Be sure to let us know about any medical conditions you may have. They won't necessarily affect your acceptance on Team as all cases will be looked at individually, but we do need to ensure that you are fit and healthy enough to carry out your role at Spring Harvest and that the necessary support is available within the Team. ^Top
Tax, National Insurance & Benefits
- Whilst you are serving on Team, we will not assume any employment responsibilities such as making deductions for income tax and national insurance, so you will need to declare your ministry gift for tax purposes.
- If you are claiming benefits, you will need to let the Benefits Office know before you volunteer or accept a place on team, to make sure you comply with any of their regulations. ^Top
