3. Confirm your phone booking - return booking form(s)

Once you've made a phone reservation, return your completed booking forms and any deposit to Butlins within these periods:
• For less than 20 Adults – 7 days of telephone reservation
• For 20 adults or more – 14 days of telephone reservation

In either case, please note that your telephone booking is a firm contract between Butlins and yourself.

How to complete the brochure/booking form...
• Follow steps on the paper brochure/booking form, and complete the vertical slip so that we can send you vital advance information about the Event.
• Send a completed form to Butlins for every unit booked, even if secured over the phone.
• To claim your free places, enter the number of places in section 1 of the appropriate booking form - if you mark the box on your own booking form, the free place discount will then be applied to that accommodation unit.

Group Organisers (anyone booking more than one unit)...
• Enter your name in section 1 on all booking forms for your Group.
• Enter your own details in Section 2 of your own booking form, as well as in Section 1.

Claiming free places for Groups...
• For every 20 full paying Adults in your Group, you are entitled to an additional free place (21st and 42nd adult places are free)
• Free places are automatically allocated to the accommodation type that the majority of adults have booked in your Group.
• If claiming free places, enter the number of places in section 1 of the appropriate booking form(s) - if you mark the box on your own booking form, that free place discount will then be applied to that accommodation unit.

Provision of names for Group bookings...
• Where you can't provide names for every member of your Group, fill in unknown names as AN Other.
AN Other names count as Adults when you pay the deposit.
• All names should be supplied to Butlins by 30/09/08-  amendment fees apply after this (see below)

Over-booking unit is a no-no...
• Please don't book units unless you are confident you are going to use them. Overbooking and then releasing at a later date means others aren't able to attend or get their preferred accommodation or Week.

Booking forms - where to send them...
Post your booking forms and deposit to:
• Skegness: Butlins Resort, Skegness, Lincolnshire, PE25 1NJ
• Minehead: Butlins Resort, Minehead, Somerset, TA24 5SH

4. Enquiries and final payments

If you've booked as part of a Group, enquiries must be made through your Group Organiser. All enquiries about any booking should be made to the Resort you're booked for. Again, lines can be very busy. If you hear a ringing tone then your call is in a queue and will be answered as soon as an operator becomes available:
• Butlins Minehead on 0845 070 4764
• Butlins Skegness on 0845 070 4753

Charges for AN Others on your invoice
• Your Butlins invoice will register an Adult price for all accommodation for which names have not yet been supplied.
• After you confirm names and dates of birth, your final invoice will be adjusted to account for any children in the accommodation.

Amendments, fees and cancellations
There is no fee for the following amendments until 30/09/08:
• Changes to the size, number of or type of accommodation already booked (subject to availability)
• Name changes to your party or adding extra Guests.

From 01/10/08 , fees apply to the following amendents:
• Changes to the size, number of or type of accommodation already booked (subject to availability): £10 per set of changes
• Name changes to your party: £10 per set of changes.
Cancellations of actual/AN Other bookings, will forfeit their deposit monies. Cancellations must be made to Butlins in writing.

Please endeavour to notify any amendments before 3 January 2009.

Final Payments
• Balance payments must reach Butlins 56 days before arrival at Spring Harvest:
Week 1: by Friday 8 February 2009
Week 2: by Wednesday 13 February 2009
Week 3: by Monday 18 February 2009

• Final payments can now be made online to Butlins here.
• If a large payment is to be made by credit card, it's best to notify your card issuer in advance as due to increasing credit card fraud, some issuers will refuse payment even if the cardholder has sufficient funds.

Final Payments (GROUPS ONLY)
• Your final payment must be made as one single transaction on behalf of your whole Group.
